Our cohort declaration term-time checkpoint is now open for your Head of Centre or authorised person to complete, and the deadline to complete this activity is 9 February.

What do I need to do as an exams officer?

Your cohort declaration should be signed when you and your Head of Centre are confident that all BTEC and T Level learners learners registered at your centre have accurate estimated completion dates. This means we will have a shared view of your learners expecting an overall qualification result on learner results days in August this year. We need to know this information to ensure your learners receive their results on results day and are able to progress to higher or further education, an apprenticeship or employment.

To help you with this activity we have sent a spreadsheet to your Edexcel Online mailbox which lists all your registered learners and their current estimated completion dates. We would like you to review these estimated completion dates, confirm they are correct and if they are not correct, you will need to amend them.

Who should complete this declaration?

The cohort declaration should be signed by your Head of Centre, or someone who has been given permission to sign the declaration on their behalf.  We have sent your Head of Centre an email to explain the cohort declaration and the need for this activity to be completed before 9 February.

If your centre has subsites, a declaration should be completed for each site.

BTEC Tech Awards

We are aware that your centre offers BTEC Tech Awards. You can review the estimated completion dates for BTEC Tech Awards on the data we’ve sent you, but you won’t be able to change your estimated completion dates until next week when we will have added a field to Edexcel Online which will allow you to do this. We’ll be in touch next week when this new field is live. You can complete your cohort declaration now if you are confident all estimated completion dates for your BTEC Tech Awards are accurate.

T levels

As your centre offers T Levels, you will also need to check estimated completion dates for your T Level learners on the data we have sent you. If you need to amend your estimated completion dates you should do this in our T level amendment spreadsheet and email the spreadsheet to us at completinglearners@pearson.com. You’ll find instructions on how to do this on the first tab in the spreadsheet.

Which qualifications should I complete this activity for?

The signed cohort declaration covers all BTEC and T Level qualifications which can be used by learners to progress onto higher or further education. This means you will need to complete this activity for the following qualifications: 

  • BTEC Nationals 
  • BTEC Higher Nationals 
  • BTEC Firsts 
  • BTEC Specialist and Professionals 
  • BTEC Tech Awards (2022)
  • T Levels
  • BTEC International

Making amendments to your registrations and estimated completion dates

When you review your registrations before completing the declaration you may need to make some amendments to your registrations. You should withdraw any learners who are no longer completing their qualification this year and delete registrations where necessary. We’ll begin to withdraw learners that still have completion dates in the past from 29 February 2024.
