Welcome to this week’s Exams Officer Update.

As always, our Pearson support portal offers a wide range of articles to support you in your day to day activities. As the summer exam period nears its conclusion, you may continue to find our EO Support Spring & Summer essential information article useful.

Coming soon

We are busy working on a new essential information article to aid you over the summer results period. If there is anything you would like to see included in this or have any general feedback on our articles, please let us know by raising a case in the Pearson support portal.
To better prepare you for upcoming results days we have produced an on-demand results e-learning module which you can complete at your own pace.

If after completing this e-learning, you still have questions, we are also hosting two separate online EO webinars, on 11 July 2024. These events will be dedicated to offering support on BTEC and general qualification results You can sign up for these events below.

You can bookmark this page to get links to all upcoming events as they become available.

You can view recordings of previous events on our Pearson Development Hub, where we will also share recordings of these two results events.

How to receive summer 2024 BTEC results via your MIS

Results Entry 7B Files

In order to receive learners' overall results for BTEC Firsts, Nationals and L2 Technicals via EDI in August, please ensure you submit a results entry 7B file to us as soon as possible, the deadline for this was 31 May. If we do not receive a 7B file from you, we cannot send learner results to you via EDI in August.

You will need to download a 7B file from Edexcel Online and populate it with the details of the learners for whom you will want to receive overall results via EDI before sending it to us.

Follow our simple instructions to download a 7B file.

Submitting a 7B file is not a substitute for submitting award claims for your learners; the file informs us which learners’ results you would like to receive via EDI upon the release of results.

EDIFACT results files

If you require a summer EDIFACT results file, please send a request to us at eprocessing@pearson.com.

BTEC Tech Awards (2022)

The revised BTEC Tech Awards (2022) are not included in a 7B file. You will automatically receive May/June 2024 component results via EDI, and where learners have been entered for a cash in in summer 2024, these files will also contain overall grades.

Please note: Any learners who were cashed in late for the January series, who haven't completed additional assessments in the summer series, will not be included in the May/June 2024 results file you receive. If you require an overall results file for any learner who were cashed in late in the January series please email eprocessing@pearson.com to request this.
You must make all BTEC certification claims for learners expecting to receive a result in August 2024 by 5 July. This includes BTEC Tech Awards, where you should make a certification claim by submitting a cash-in by 5 July.

If claims are made after 5 July, we can’t guarantee that learners will receive results on time. For any late claims made for BTEC Level 3 Nationals where learners are still expecting a result in August, you may be liable for a £100 administration fee per learner registration that misses the claiming deadline.

Using the VQ learner tracker

This year you will be using the VQ Learner Tracker, a new module in the Pearson Progress Platform, to help you manage your BTEC summer cohort. Here you’ll be able to identify learner registrations that require any action so you can meet the 5 July claiming deadline.

If you’ve not yet explored the VQ Learner Tracker, we’d encourage you to familiarise yourself ahead of the deadline. You can read our quick guide to getting started.

If you are already familiar with the learner tracker but aren't sure what actions to take, you can find more information in our Identifying centre actions required to ensure learner certification support article.
Submitting cash-ins for learners certificating this summer

To make a certification claim for BTEC Tech Award you need to submit a cash-in code.

For learners sitting the terminal external assessment this May, the cash-in code should be submitted at the same time their entry is made for the terminal component. If you don’t submit a cash-in code, then learners won’t receive an overall qualification result in summer.

If you’ve not submitted a cash-in for summer, you should do this no later than the 5 July to guarantee learners receive their result in August. As of 2 May you are no longer able to submit cash ins via EDI, these must now be done through Edexcel Online and before 5 July.

Receiving moderator reports

Once learner work has been moderated, we will send you a draft moderator report. This will be sent to the exams officer and quality nominee in your centre. Please make sure these details are up to date on Edexcel Online so you don’t experience a delay. You can also view your moderator’s details in Edexcel Online if you need to contact them. You will then be able to amend any learner marks until the 28 June following your moderator’s feedback.

More information

We send a dedicated monthly BTEC Tech Awards newsletter, which you can subscribe to if you would like to receive it. Our June issue has more information on claiming certification, draft moderator reports and more.
The latest module in our BTEC Exams Officer training series is now available on the Pearson Development Hub.
  • BTEC Bitesize Module 10: Eligibility (2023/24)
This module will be focusing on the importance of the eligibility steps which need to be followed and completed, to ensure your learners can receive their results and certificates this year.

Teachers and Heads of departments at your centre may not have had to access our secure systems for some time, with the next time they need to do this being on learner results days in August. We wanted to take this opportunity to remind all users of systems such as Edexcel Online and ResultsPlus, that there is now a requirement to authenticate via an app on a smart phone in order to access these systems.

If you have colleagues who haven't accessed these platforms for some time, please urge them to do so before finishing for the summer, so we can work with them to resolve any issues and avoid any delays in access on results days.

They can get additional support for registering a device and general troubleshooting in our Pearson Portal Authenticator support article.

We would also encourage you to review your centres accounts and make sure only those who should have access to results on embargoed results days, have the results profile ticked. Teachers should not be able to view results until results are released to learners.

Taking these steps now will ensure we all have a successful results day.
NEW Cyber Security webpage

We have made lots of enhancements in the past 12 months, to increase the security of Pearson and centre data, and maintain the integrity of our qualifications and assessment materials. These have included a move to Multi Factor Authentication and enforcing enhanced password requirements for all our platform users.

We have created a new Security page on or qualifications website, where we will share best practise as well as guidance on how you can spot if something doesn’t seem quite right.
